Is It Safe to Pay a Deposit to a Vending Machine Factory in China?

Paying a deposit to a machine factory in China is safe when the sequence is right, and risky when it is not. The safe shape: 30 to 40 percent to start production, the machine shown to you working before the balance, and the balance paid only after you approve. The unsafe shape is any version where your money arrives before the machine exists and nothing stands between you and a stranger's goodwill. This post explains why the sequence matters more than the supplier's promises, and what to put in writing before the first transfer.
We take deposits ourselves, so read this as a factory explaining its own mechanics. The structure below is not a favor we do buyers; it is the standard any manufacturer worth buying from should meet.
Why a deposit exists at all
A machine is built for you. When your order enters the line, steel is cut, boards are allocated and a slot in the production schedule is taken. If a buyer walks away mid-build, the factory is holding a half-finished machine in a configuration nobody else asked for. The deposit is the factory's protection against that, exactly as the balance is your protection against a bad machine. Both sides are exposed. A deal where only one side is exposed is the deal to avoid, in either direction.
The sequence that protects you
| Stage | Money moved | Your protection |
|---|---|---|
| Order confirmed | Nothing yet | Written spec, price, timeline and warranty terms |
| Deposit | 30 to 40 percent | 60 to 70 percent still in your account |
| Production | Nothing | Progress updates, under 30 days on our line |
| Inspection | Nothing | Video call of your machine running, or a third-party inspector |
| Balance | Remainder | Paid only after you approve what you saw |
| Shipping | Freight per your terms | Tracking, installation videos, support at setup |
The load-bearing step is inspection before balance. Everything else is paperwork around it. If a supplier will not commit to showing you the finished machine before the final payment, the rest of their terms do not matter.
Escrow: what it adds and what it costs
Alibaba Trade Assurance holds your payment and releases it when you confirm the order was met. For a first purchase from a supplier you have never met, that neutral party is worth the small fee and the extra paperwork, and we accept orders that way, including card payment through Alibaba. What escrow does not do is judge machine quality for you: it enforces the terms you wrote, so vague terms produce vague protection. Write the specification properly and escrow becomes genuinely useful. Many of our buyers use it once, then move to direct bank transfer for later orders.
The five lines to get in writing
Before any money moves, have these in an email or contract: the exact machine configuration including voltage and payment system; the total price and what it excludes, since EXW leaves freight and duty with you; the production window; the payment split and what triggers each payment; and the warranty, meaning what is covered, for how long, and who pays shipping on a replacement part. Our answer to the last one is one year with free parts and free support, which is the bar we would hold any supplier to.
Warning signs worth walking away from
Full payment demanded upfront. Refusal to show the finished machine before the balance. A price far below every other quote you hold, which usually means a different machine than the photos. Bank details in a personal name rather than the company. Pressure to decide today. None of these are proof of fraud on their own, and any one of them is reason enough to slow down and ask more questions.
Doing this with us
Our terms: 30-40% deposit, under 30 days of production, a video call showing your machine running, balance after approval, then crating, shipping and tracking with you, plus installation videos and live support during setup. If you would like to see the factory and team before any of that starts, that is the simplest way to see we are real, and every machine price is published so the quote you receive is checkable against a public number.
The deposit is one line of a longer conversation. The rest of it, including certification, spare parts and what happens if the machine arrives faulty, is in the 23 questions to ask a factory before you pay.
If your order is running through a marketplace rather than direct, buying a vending machine on Alibaba covers what the listing hides and where Trade Assurance stops.
Frequently Asked Questions
What deposit is normal when buying a machine from China?
Thirty to fifty percent to start production, with the balance before shipment. Ours is 30-40%. A factory asking for the full amount upfront is asking you to carry all the risk, and a factory asking for nothing is unusual enough that you should ask how they fund the build.
What stops a factory taking the deposit and disappearing?
Three things, in order of strength: the balance you still hold, an escrow service like Alibaba Trade Assurance that releases funds only on your confirmation, and the factory's own interest in repeat business. A supplier whose distributors reorder monthly has far more to lose than your deposit.
Should I use Alibaba Trade Assurance or pay the factory directly?
Use escrow for a first order if it makes you comfortable. It costs a little in fees and adds paperwork, and it buys a neutral party holding the money. Many buyers start there and move to direct bank transfer once a relationship exists. We accept both, plus card through Alibaba.
What should be in writing before I pay anything?
The exact configuration, the price and what it includes, the production window, the payment split, the warranty terms, and what happens if the machine fails inspection. If a supplier resists putting the inspection step in writing, that is the answer to whether they expect to pass it.
Can I inspect the machine before paying the balance?
You should insist on it. We run a video call showing your finished machine working before the balance is due, and third-party inspection services will visit a Chinese factory on your behalf for a few hundred dollars if you want independent eyes on a larger order.
See the machine before the balance
Standard terms: 30-40% to start, under 30 days to build, a live video call of your machine working, and the balance only after you approve it.
